How to send oil samples to the UK after Brexit

Brexit - What do you need to know?

The Lab Advisor Alert used oil analysis service is conducted at the Lubetrend Laboratory in the United Kindom. Since the United Kingdom left the European Union the terms for exporting goods to the UK from a EU-country has changed.

There are two options available when sending used oil samples for analysis to the lab in the UK.

  1. Sending via a Hub in Germany
    This option avoids you having to fill out any additional customs clearance information (Declaration of Contents must still be attached). This option may add additional day(s) onto the sample transit time, due to the re-routing involved in sending samples to the European Hub. Cannot be used for used oil samples of HYDRAULIC OIL 131 and HYDRAWAY HVXA 15 LT.
     
  2. Sending directly to the lab i the UK
    To send used oil samples to the lab in the UK you need to fill out a Customs Declaration and a Proforma Invoice (Commercial invoice) including a Declaration of Contents. We offer guidance on how to fill out these forms below.

Option 1 - Send samples via a Hub in Germany

EU based customers can use a Hub in Germany to send sample kits. This option avoids you having to fill out any additional customs clearance information. This offering includes the free of charge transportation of samples from the German Hub to the lab in the UK. However, you would be responsible for any charges in getting your samples to the German Hub.

When using this option, your samples are to be packaged as normal and addressed as below:

There are daily collections scheduled from the German Hub, to the lab in the UK.

Please note:

  • This option may add additional day(s) onto the sample transit time, due to the re-routing involved in sending samples to our European Hub.
  • Used oil samples of HYDRAULIC OIL 131, HYDRAWAY HVXA 15 LT are classed as dangerous goods and must be sent via option 2 - directly to the lab in the UK.

Option 2 - Send samples directly to the lab in the UK

To send used oil samples to the lab in the UK you need to fill out a Customs Declaration and a Proforma Invoice (Commercial invoice) including a Declaration of Contents.

  • The Customs Declaration is usually created online, your courier has routines for this.
  • The Proforma Invoice and the Declaration of Contents needs to be printed and attached to the package.
    • Must be signed and dated.
    • Depending on courier, up to four copies might be required.

You also need to fill out your EORI-number (Economic Operator Registration and Identification). An EORI number is a unique identification number that is to be used for all customs related activities within the EU, for example when importing from or exporting to a country outside the EU.

  • Description: You can use the following description:
    Oil sample/s for testing.
    No commercial value.
    Flash point >200°C.
    Not dangerous goods. 
    Not restricted. Complies with IATA restrictions.

  • Category: Other
  • Quantity: Enter the number of sample bottles sent.
  • Weight: Usually you need to enter both net and gross wieight.
  • Value: <1 GBP per sample (<15 SEK per sample)

Please note that the sample description and value is important to add – without this information your samples could be held at customs for up to 14 days or even longer.

The Harmonized System is a standardized numerical method of classifying traded products. It is used by customs authorities around the world to identify products when assessing duties and taxes and for gathering statistics.

Depending on what type of oil you are sending, different codes are used. For example:

  • Engine oils, compressor oils and turbine oils: 2710 19 81
  • Hydraulic oils: 2710 19 83
  • Gear and transmission oils: 2710 19 87

I can confirm the material/contents are safe and acceptable commodity for air transport and does not reflect any hazard to the aircraft or to the environment. I declare that the above information is true and correct to best of our knowledge for samples shipped to the laboratory.
